Build the manifest
A manifest should identify each case or loose item, its department, contents, condition-record method and next destination. Use consistent labels. Separate critical equipment from accessories that can be replaced locally only when the production plan permits it.
Road cases and storage
Record case dimensions, handling constraints at a high level, stack restrictions from the manufacturer and storage needs. A case is part of the equipment footprint. It affects collection, loading sequence and venue access.
Collection and transport
Define the collection address, contact, window, handover evidence and return route. Transport coordination should include the tour schedule, venue access information and the responsible production contact.
This site does not provide customs rules, transport rates or delivery guarantees. Cross-region movement should be reviewed with the responsible carrier and appropriate professional advisers.
Loading sequence
Use a documented loading order based on the approved transport plan, access conditions and qualified personnel. Do not improvise unsafe lifting, vehicle loading or suspended-load work. Follow vehicle, venue and manufacturer procedures.
Tour schedule and storage
Mark show days, travel days, storage periods, collection points, return windows and contingency locations. A schedule that includes only performances hides the operational work between them.
Return procedures
Start the return plan before the final performance. Separate cases by destination, record visible condition and identify missing accessories. Use agreed handover documentation. Do not claim a condition check that has not occurred.
What to prepare and check
- Numbered manifest and case labels.
- Route schedule and access contacts.
- Collection, storage and return windows.
- Contingency contact and decision path.
- High-level safety and venue requirements.
Check that the manifest matches the physical handover, that qualified personnel control handling, and that no equipment is used beyond its instructions.
